Keely Book a walk-through

Job 02 of 07 · Student paperwork

Forms signed before day one. Nobody chased.

Every student fills in their own details on their phone after they book. You see who is missing what, and Keely chases them.

Phone form: the declaration box ticked, a hand-drawn signature on the signature pad, and the words Signature captured.

Nothing printed, nothing posted

Logbook signed off and a completion record issued

No paper forms on that course, and no reminder emails written by hand.

Forms

Their own forms, on their own phone

Medical declaration, next of kin, experience and dietary needs. They are your questions, sent to each student as soon as they book. If a group books together, each person gets their own.

The real screenPhone: the declaration ticked and a hand-drawn signature on the signature pad.
A student ticks the declaration and signs with a finger.
Questions only when they apply

A follow-up question appears only after the answer that needs it, so nobody reads questions that are not about them.

Signed on screen

Students sign with a finger. For anyone under 18, a parent or guardian signs.

Every version kept

Once a form is published its wording is locked. Each signed copy is kept with the version and the time it was signed. Change the wording and the next student signs the new version.

The Forms desk

Stop writing chasing emails

Reminders go to anyone who has not finished. The Forms desk shows the gaps for each course, so nobody in the office writes a chasing email by hand.

Joining instructions

19:00

The night before, everyone has their joining instructions.

Where to park, what to bring and who to ask for, sent at the time you choose.

Phone: joining instructions with the meeting point, Add to calendar, the boat and the instructor.

Joining instructions

Fewer calls at 07:45 on the first morning

The boat, the instructor, where to meet, the kit list and an entry for their calendar, all on their phone. It answers the questions students would otherwise ring the office with at 07:45.

The link is private to each student and stops working after the course.

Day five · 17:30

Signed off before they leave the pontoon

The instructor records attendance, miles and the outcome on a phone. The student sees it in their account straight away. Each completion record has its own number and a page anyone can check online.

Each record stays with the student's bookings. RYA certificates still come from the RYA.

Students add a photo of a previous certificate or a document to their form. Issuing or registering RYA certificates stays in the RYA's own system.

Questions

What schools ask about the paperwork

My instructors won't fill in logbooks on a phone at sea.

They don't have to do it at sea. They can sign off after the course on any computer, including the office one, under their own login.

Can we use our own questions on the forms?

Yes. You write the forms, including the follow-up questions, and Keely sends them to each student.

A group books together. Does one person fill in everything?

No. Each person in the booking gets their own forms and signs for themselves.

Who can see a student's medical answers?

The office, and the instructor on that student's course. Nobody else on your team.
