Security and your data
Your customers' details, your money, and who can see them
Card numbers never pass through Keely, payments go straight into your own Stripe account, and each member of staff sees only what their job needs. This page says where everything goes, and who can see it.
One card payment, second by second
The card number goes to Stripe. The money goes to you.
Keely's checkout is one page in your school's colours. The card is typed into Stripe's own secure fields on that page, so it never passes through Keely.
| Time | What happens | Who sees the card number |
|---|---|---|
| 19:42:01 | Hannah opens your checkout for Day Skipper, 5 to 9 June. | Nobody |
| 19:42:31 | She types her card into Stripe's secure fields, on the same page. | Stripe |
| 19:42:36 | Stripe checks the card with her bank, including any extra check the bank asks for. | Stripe and her bank |
| 19:42:38 | The £190 deposit is paid into your own Stripe account. | Stripe only |
| 19:42:38 | Keely is told the payment went through. It records the booking and sends Hannah her forms. | Keely never sees it |
Card fees are charged by Stripe at your own rates. Apple Pay, Google Pay and the other ways to pay are switched on in your own Stripe account, so you choose which ones customers see.

Who can see what
Each person sees what their job needs
You decide what each member of staff can see and change. An instructor sees their own courses and crew, not the takings.
Staff sign in with a passkey or two-step sign-in. Every change is recorded with who made it and when, including the reason given when a boat or instructor goes out with a warning.
| Role | Bookings | Payments | Medical notes | Settings |
|---|---|---|---|---|
| Principal | Change | Change | See | Change |
| Office manager | Change | Change | See | No |
| Instructor | Own courses | No | Own courses | No |
| Bookkeeper | See | See | No | No |

The rest, plainly
Backed up, and yours to take with you
Every restore test opens the backup and checks nobody has altered it, rebuilds every table into an empty copy of Keely, and compares each one with the original, record by record. Then it tries again with a deliberately altered copy, and refuses it. A backup that fails any step is not used.
- Backups we practise restoring
Our restore test rebuilds everything from a backup and checks that every record matches. It refuses a backup that has been tampered with.
- When a customer asks for their data
You can download everything held about one customer from their record: bookings, forms, messages and notes.
- Export your bookings, customers and forms
Whenever you like, from the office screens. You don't need to ask us first.
- If you leave
No exit fee, and your web address stays in your name. Your notice period is agreed with you before you sign, so it suits your season. Your data and your domain stay yours: we hand you a full export.
- Where Keely is hosted, and how often we back up
Ask us where Keely is hosted and how often it is backed up, and we will put both in writing before you sign.
- One school can't see another's records
We test that one school's staff can't see another school's bookings, customers or forms, including schools in the same group.
